DOP Email Migration to Office 365 #12

We have implemented a workaround solution that has allowed external non-DOP emails to begin flowing through.  You may start receiving these emails that were sent since last Friday July 5 night.

Please note that it may take up to 48 hours before all external domains will be able to send to our dop.hawaii.edu accounts, due to “DNS Propagation”.

Inbound emails from @hawaii.edu, @gmail.com, @ucera.org, @hawaiiresidency.org, @hotmail.com, @yahoo.com, and many others should be coming through now.

I am continuing to work with Microsoft support to getting the inbound email issue resolved.  We believe that we’ve identified the cause of the problem, and they are currently working on the fix.

Expected resolution time is End of Business today.

Please continue to use your non-DOP email (e.g. UCERA, UH Gmail, Queens, etc) to receive outside email.

Pending issues/Updates:

  • New emails from outside emails (e.g. Yahoo, Gmail) to DOP is still not working.
  • You may experience problems with sending emails to certain domains (e.g. usc.edu) that use special spam filters.

The case has been escalated to a Microsoft Engineer Support Tech.

Pending issues/Updates:

  • New emails from outside emails (e.g. Yahoo, Gmail) to DOP is still not working.
  • You may experience problems with sending emails to certain domains (e.g. usc.edu) that use special spam filters.

Both issues are likely related to the same cause, and I am in contact with Microsoft Office 365 support to resolve this issue as quickly as possible.

To be on the safe side, please add your personal email address in the Cc: line for outgoing messages, and check for email replies from your personal account.

Office 365 Outlook Setup Notes

After you configure your Outlook for Office 365, you may need to reset your Signature, and Rules.

Signature:

  1. Login to Outlook
  2. Goto File > Options
  3. Click Mail
  4. Click Signatures button

Rules:

  1. Login to Outlook
  2. Click Homes tab > Rules > Manage Rules & Alerts

I have disabled our old email server to prevent users from adding data to it. Please login to Office 365 Outlook Web Access to check your email https://login.microsoftonline.com. Or see the guide in the prior posts to setup your email clients for Office 365.

Resolved issues:

  • All Public Calendars are now migrated. Public Calendar access is currently only available to Outlook users. It is not accessible from Outlook Web Access nor mobile devices.
  • All DOP listservs are now fully migrated.

Pending issues/Updates:

  • New emails from outside emails (e.g. Yahoo, Gmail) to DOP is not working. — No further updates.

The data migration has completed.

Resolved issues:

  • All DOP listservs are now fully migrated.

Pending issues/Updates:

  • New emails from outside emails (e.g. Yahoo, Gmail) to DOP is not working. — At this point, we think that we need to wait for DNS records to propagate throughout the Internet before mail will be delivered.
  • Public calendars have not been migrated. — I’m in the process of manually migrating these folders.
